E-signature software for the UAE: contracts, quotations, dealer agreements and offer letters signed online with a verifiable audit trail

Businesses in the UAE still print, sign, scan and email documents that could be signed in a minute, or pay for a separate signing service that knows nothing about the quotation, dealer or employee behind the document. Next Orbit implements and supports e-tijariX, which has e-signature built in and used everywhere a signature matters, built around Federal Decree-Law 46/2021 on electronic transactions and trust services.

  • PAdES signature embedded in the PDF
  • Email OTP, SMS OTP, UAE PASS
  • Certificate of completion
  • Bilingual templates
  • Contracts and agreements centre
  • Bilingual templates and clauses
  • Signer verification and workflow
  • Cryptographic signing

Quick answer

What is e-signature and who is it for?

E-signature software lets parties sign documents online with evidence of who signed, when and how, in a form that stands up afterwards. e-tijariX, which Next Orbit implements and supports in the UAE, embeds a cryptographic PAdES signature in the PDF so Adobe Reader shows it as signed and detects any change, verifies signers by email OTP, SMS OTP, access code, UAE PASS or portal login, supports signing order or parallel signers with approvers and reminders, locks signed documents at database level, issues a certificate of completion with the full audit trail and a public verification page, and keeps a register of every agreement with renewal reminders. Because signing is inside the platform, a signed offer letter creates the employee, a signed dealer agreement activates the account and an accepted quotation continues the order.

  • The law in brief. Federal Decree-Law 46/2021 recognises electronic signatures and gives qualified signatures and certificates a stronger standing; some documents still require notarisation or wet ink. Confirm your cases with a lawyer.
  • What a business-grade signature needs. A signature embedded in the document, signer identity verification, a tamper-evident audit trail, documents that cannot be altered after signing and a way for third parties to verify.
  • What we deliver. Templates and clause library in English and Arabic, signer verification policy per document type, a company signing certificate from a UAE accredited trust service provider, workflows and training.
  • Office. Next Orbit Technologies L.L.C, 509-23, Mai Tower, Al Nahda 1, Dubai, United Arab Emirates, serving the whole UAE, the GCC and globally.
  • Built around your operation The architecture is agreed with you before any code, so the system fits how you already work.
  • Proven before you commit A prototype built around your workflow shows it working before the main investment.
  • Ready for the UAE Arabic and English, UAE compliance such as VAT and e-invoicing where it applies, UAE hosting where your rules require it, secure by design.

How a typical e-signature system fits together

Before a line of production code is written we draw the system: the people who use it, the services behind it and the systems it must talk to. This reference architecture from our custom software development practice is the starting point we adapt to your operation.

Questions, answered

E-signature in the UAE: questions we are asked

01 Are electronic signatures legally valid in the UAE?

Federal Decree-Law 46/2021 on electronic transactions and trust services recognises electronic signatures and provides for secure and qualified signatures backed by accredited trust service providers. Certain documents, such as some involving real estate, personal status or notarisation, may still need other formalities. This is general information; confirm your document types with a lawyer.

02 What is a PAdES signature?

PAdES is the standard for digital signatures embedded in PDF documents. The signature is bound to the content with a certificate, so a PDF reader shows the document as signed and flags any later change.

03 Can signers be verified with UAE PASS?

Yes. UAE PASS, the national digital identity, can be required as the signer check for a document type, alongside email OTP, SMS OTP, access codes or verified portal login.

04 Do we need a separate signing subscription?

No. Signing is built into e-tijariX and used across sales, dealers, HR, purchasing and service, so quotes, agreements and offer letters are signed where they are created.

05 What happens to a document after it is signed?

It is locked at database level, the certificate of completion is attached with the audit trail, parties receive the signed copy, a public verification page confirms it, and the linked record moves on, for example the dealer account is activated or the employee is created.

06 Can we sign in Arabic?

Yes. Templates, emails and the signing experience are available in English and Arabic, and documents can be bilingual side by side.
