Quick answer
Bank reconciliation for a UAE business is the check that every line on the bank statement matches a receipt, payment, payroll payout or settlement in the ledger, and that the ledger's bank balance agrees with the bank's. It stops being a month-end ordeal when statements are imported rather than retyped, matches are suggested with a confidence and a reason, rules learn from what you accept, and card settlements, cash-on-delivery remittances and payroll runs post to the books before the statement arrives.

Bank reconciliation for a UAE business is the check that every line on the bank statement matches a receipt, payment, payroll payout or settlement in the ledger, and that the ledger’s bank balance agrees with the bank’s. It stops being a month-end ordeal when statements are imported rather than retyped, matches are suggested with a confidence and a reason, rules learn from what you accept, and card settlements, cash-on-delivery remittances and payroll runs post to the books before the statement arrives.
The problem: month-end from PDF statements
In many trading companies in the UAE, bank reconciliation is a job one person does in the last week of the month.
- The statement is retyped or copied into a spreadsheet, line by line, because the bank’s PDF is the only format anyone downloaded.
- Card settlements arrive as one net amount per day, while the store recorded forty separate orders at gross value. The two never agree without a working sheet of gateway fees.
- Cash-on-delivery remittances from couriers land as lump sums weeks after the orders shipped, with the courier’s own deductions taken out.
- A supplier was paid twice, once by cheque and once by transfer, and nobody saw it until the supplier mentioned the credit on their account.
- One bank’s statement comes with Arabic column headers and Arabic-Indic digits, and the import template that worked for another bank breaks on it.
- Payroll went out as one WPS transfer, and the statement line has to be tied back to the payroll journal by hand.
By the time the balance agrees, the VAT return is being prepared from figures that were still moving and the owner’s view of cash is a fortnight old.
Why it happens
- Statements arrive as documents, not data. PDF and scanned statements have to be converted before anything can be matched.
- Every bank formats differently. Column order, date formats, reference fields and language vary from one UAE bank to the next.
- The sales system and the ledger are separate. Gateway and courier settlements are net figures; the sales system holds gross figures. Without the fee breakdown in the ledger, there is nothing for the settlement to match.
- Matching is memory, not rules. The person doing the reconciliation knows which abbreviated description belongs to which customer, but that knowledge lives in their head.
What good bank reconciliation looks like
Good reconciliation is continuous, mostly automatic and explainable. A finance manager should be able to open the bank screen on any day, see which statement lines are unmatched and why, and accept or correct the suggestion in a click. The table sets out the formats a UAE business should expect its software to read.
| Format | Where it comes from | Why it matters |
|---|---|---|
| CSV and Excel | Most online banking portals | The common case; column mapping must handle each bank’s layout |
| Monthly statements, older portals | Needs table extraction that copes with Arabic headers and digits | |
| MT940 | SWIFT statement message offered by larger banks | Structured and reliable, with references intact |
| CAMT.053 | ISO 20022 end-of-day statement | The modern structured standard, increasingly offered in the UAE |
| OFX and QFX | Some banks and finance tools | Structured and widely supported |
| Open banking feed | Through a licensed aggregator | Transactions arrive on a schedule without a download |
Importing statements from UAE banks
The first requirement is that the software knows your bank. A bank profile defines where the date, description, reference, debit, credit and balance sit in that bank’s file, so the import needs no mapping each month. Look for ready profiles for the major UAE banks, including Islamic and digital banks, plus a generic profile for any other.
Several banks issue statements with Arabic headers, and some print Arabic-Indic digits in amounts and dates. The import should read both without a manual conversion step.
Matching: suggestions with a confidence and a reason
The core of reconciliation is pairing a statement line with something already in the ledger: a customer receipt, a supplier payment, a payroll payout, a gateway settlement or a bank charge.
- Suggested matches for each statement line, scored for confidence, with the reason shown: same amount and reference, same amount within a few days of the invoice date, same counterparty as last month.
- Bulk acceptance of high-confidence matches, so the routine lines clear in seconds and the reviewer’s time goes on exceptions.
- Rules that learn. When you confirm that a description pattern belongs to a particular customer or a particular expense account, the rule is kept and applied next time.
- Anomaly flags on the lines that do not fit: a duplicate payment, a round-sum transfer with no document, an unusual counterparty.
Open banking feeds and gateway settlements
Open banking. Licensed aggregators in the region, such as Lean Technologies and Tarabut Gateway, connect to a business’s bank accounts with the account holder’s consent and deliver transactions on a schedule. Accounting software that integrates with these aggregators receives bank lines without anyone logging in to download a file. The connection is set up under your own agreement with the aggregator and your bank.
Gateway and courier settlements. Card gateways and buy-now-pay-later providers pay out net of their fees; couriers remit cash on delivery net of theirs. The right approach is to import the settlement report from the gateway or courier, post the gross sales, the fees and the net payout as separate ledger lines, and then match the net payout to the bank statement line. The fee is then an expense with VAT handled correctly, not an unexplained difference.
Cash on delivery deserves its own treatment: the cash is in transit from the moment the courier collects it, becomes a remittance when the courier pays, and carries courier fees in between. Software that posts those three stages automatically leaves only the final remittance to reconcile.
Tying payroll payouts and customer receipts to the ledger
Reconciliation only works if the other side of the match already exists in the ledger.
- Payroll. A payroll run that posts its own journal, salary by department and cost centre, and records the WPS payout as a payment leaves one matching line for the bank transfer. If payroll lives in a separate tool, the journal has to be created by hand before it can be matched.
- Customer receipts. Receipts recorded against invoices at the time of collection, including post-dated cheques in a register with their due dates, give the matcher something to find. A receipt recorded only when the statement arrives is matching in reverse.
This is the strongest argument for keeping sales, payroll and accounts in one system: every event that will later appear on the statement has already been posted by the module that caused it.
VAT and corporate tax figures depend on the same ledger, so reconciled books mean a VAT return prepared from settled numbers. This article is general information, not tax advice; confirm filing rules and treatments with the FTA or your tax adviser.
Where e-tijariX fits
Next Orbit Technologies, a software company with one office in Dubai serving the whole UAE, the GCC and clients globally, offers, implements and supports e-tijariX, a trading, distribution and e-commerce platform in English and Arabic. Its finance module imports statements for the major UAE banks in CSV, Excel, PDF, MT940, CAMT.053 and OFX, reads Arabic headers and digits, suggests matches with a confidence score and a reason, accepts high-confidence matches in bulk and learns your rules. It integrates with Lean Technologies and Tarabut Gateway for open-banking feeds and imports card and payment-gateway settlements. Because sales, cash on delivery, payroll and purchasing post to the same ledger, payroll payouts and customer receipts are already waiting on the bank screen to be matched.
See the VAT accounting software for the UAE page for how the reconciled ledger feeds the VAT 201 return. A demo runs on Next Orbit’s sample data, after which the system is configured with your bank profiles and matching rules.
Frequently asked questions
Which bank statement format is best for reconciliation?
A structured format such as MT940 or CAMT.053 is best, because every field is labelled and references survive intact. CSV or Excel from the online banking portal is fine when the software has a profile for your bank. PDF should be the fallback, used when nothing else is offered, and the software must then handle Arabic headers and digits correctly.
How does open banking work for a UAE business?
A licensed aggregator such as Lean Technologies or Tarabut Gateway connects to your bank accounts with your consent and passes transactions to your accounting software on a schedule. You keep your banking relationship and your online banking login; the aggregator only reads transactions. Check the current position with your bank, since availability varies by bank and account type.
How should card gateway settlements be reconciled?
Import the gateway’s settlement report, post the gross sales, the gateway fee and the net payout as separate ledger entries, then match the net payout to the bank line. Reconciling the net amount directly against gross orders never balances. The same pattern applies to buy-now-pay-later providers and to couriers remitting cash on delivery.
How often should a UAE business reconcile its bank accounts?
Daily or weekly for an active trading business, rather than monthly. With imported statements or an open-banking feed, a daily pass takes minutes because most lines match automatically. Frequent reconciliation catches duplicate payments and missing receipts while they are still easy to explain, and it means the month-end close and the VAT return start from figures that already agree.
